Grades & Sections Guide
This structure allows you to:
- Organise students by their class.
- Assign teachers to specific grades and sections.
- Start group classes that only students from a selected grade/section can join.
- Generate reports per grade/section.
2. Creating Grades
Step 1: Access Grades & Sections
Log in as Admin. In the sidebar, go to School → Grades & Sections.
Step 2: Add a Grade
- Click Add Grade.
- Enter the Grade Name (e.g., “Grade 1”, “Year 7”, “High School”).
- Click Save.
The new grade appears in the list. You can add as many grades as needed.
Step 3: Edit or Delete a Grade
- To edit: click the Edit icon next to the grade, change the name, and save.
- To delete: click the Delete icon. Warning: Deleting a grade also deletes all its sections and unassigns students. This action is irreversible.
3. Creating Sections
Once you have a grade, you can add sections under it.
Step 1: Select a Grade
In the Grades list, click the grade name to view its sections.
Step 2: Add a Section
- Click Add Section.
- Enter the Section Name (e.g., “A”, “B”, “Morning”, “Afternoon”).
- Click Save.
Step 3: Edit or Delete a Section
- Edit: click the Edit icon next to the section.
- Delete: click the Delete icon. Students assigned to this section will lose their section assignment (but remain in the grade). You can reassign them later.
4. Assigning Students to Grades and Sections
Students must be assigned to a grade and section. This determines which classes they can join.
When Adding a New Student
- Go to Students → Add Student.
- Fill in the student’s name, age, language, etc.
- In the Grade dropdown, select the grade.
- In the Section dropdown, select the section within that grade.
- Complete the rest of the form and save.
Editing an Existing Student
- Go to Students and find the student.
- Click Edit.
- Change the grade or section as needed.
- Click Save.
Note: Changing a student’s grade/section does not affect past recordings – they will still have access to previously recorded classes of their old grade/section (if any).
5. Assigning Teachers to Grades and Sections
Teachers can be assigned to specific grades and sections. This determines which classes they can start and which students they see.
When Adding a Teacher
- Go to Teachers → Add Teacher.
- Fill in teacher details (name, username, password, email).
- Under Assignments, select the grades and sections this teacher is responsible for.
- You can select multiple grades and multiple sections.
- Example: “Grade 1 – Section A”, “Grade 1 – Section B”, “Grade 2 – Section A”.
- Save.
Editing a Teacher’s Assignments
- Go to Teachers and click Edit next to the teacher.
- Modify the grade/section selections.
- Save.
What Assignments Control
- The teacher will see only students from their assigned grades/sections in the Students list.
- The teacher can start group sessions restricted to a specific grade/section (only students from that grade/section will be able to join).
- If a teacher has multiple assignments, they can choose which grade/section to start a class for.
6. Starting a Class for a Specific Grade & Section
Once you have grades, sections, and teachers assigned, teachers can start a class that is restricted to a particular grade and section.
From Teacher Dashboard
- Go to Rooms.
- Click Start Group Class.
- Select the Grade and Section from the dropdowns.
- Click Start Session.
- The session begins. Only students from that grade and section (via their parents) will see the join link in the parent portal.
How Students Join
- Parents log in to the parent portal.
- They select their child.
- Under Upcoming Classes, they see the session (if it is running and matches the child’s grade/section).
- They click Join and the student enters the session.
No manual link sharing is required – the parent portal automatically shows the correct join button for active sessions that match the child’s grade/section.
7. Recording & Playback for Grade/Section Classes
- Sessions started for a specific grade/section are recorded automatically.
- Parents of students in that grade/section can watch the recording from the parent portal.
- Teachers can watch all recordings from their own dashboard (filtered by the grade/section they taught).
- Admins can watch all recordings (filterable by grade/section).
8. Example Scenarios
Scenario A: Primary School with Grades 1–5, each with sections A, B, C
- Admin creates grades 1,2,3,4,5.
- For each grade, creates sections A, B, C.
- Teacher “Ms. Sarah” is assigned to Grade 3 – Section A and Section B.
- She starts a class for Grade 3 – Section A.
- Only parents of students in Grade 3 – Section A see the join button.
- Students in Section B do not see it (unless the teacher starts a separate class for them).
Scenario B: Subject‑specialist teacher
- Teacher “Mr. John” teaches Science to Grade 4 – Sections A, B, C and Grade 5 – Sections A, B.
- Admin assigns him to all those grades and sections.
- When he starts a class, he selects which grade/section he is teaching at that moment.
- He can run multiple sessions for different sections at different times.
Scenario C: Substitute teacher
- A substitute teacher needs temporary access to Grade 2 – Section A.
- Admin assigns the substitute to that grade/section.
- After the day, Admin removes the assignment.
9. Managing Students Without Grades/Sections (Transfers)
If a student transfers to a different grade/section mid‑year:
- Edit the student’s profile.
- Change the grade and section.
- The student will now see classes for the new grade/section.
- Past recordings remain accessible (if the parent wants to review old material).
10. Reporting & Analytics
- Admin dashboard shows counts of students per grade and section.
- Teacher dashboard shows only students from their assigned grades/sections.
- Parent dashboard shows only recordings and classes for their child’s current grade/section.
Export by grade/section is planned for future releases (CSV).
11. Frequently Asked Questions
Can a student be in two grades or sections?
No. Each student belongs to exactly one grade and one section. If a student takes advanced classes in a higher grade, you can create a separate room (not tied to grade/section) and manually share the link.
Can a teacher be assigned to a grade without a section?
Yes. If you select only the grade and leave the section blank, the teacher will have access to all sections within that grade. Useful for subject teachers who teach all sections.
Can I have a section without a grade?
No. Sections always belong to a grade.
What happens if I delete a grade that has students?
All students in that grade will still exist but will have no grade/section assignment. You will need to reassign them. Classes started for that grade will no longer be accessible (recordings remain, but new sessions cannot be started for that grade).
Can I use grades/sections for online schools?
No. The feature is hidden for online schools because they use the rooms‑only model.
Can I import grades and sections from a CSV?
Not yet. This feature is planned.
How do I handle multi‑grade classes (e.g., Grade 1 and 2 together)?
Create a separate room (not tied to grade/section) and share the link manually. The grade/section structure is for regular classes.
12. Best Practices
- Keep grade names consistent – e.g., “Grade 1”, “Grade 2” (not “1st Grade” sometimes, “Grade 1” others).
- Use short section names – “A”, “B”, “C” or “Morn”, “Aft”.
- Assign teachers to the smallest set of grades/sections needed – avoid over‑assignment which clutters their view.
- Review assignments at the start of each term – students move grades/sections.
- Train teachers on how to select the correct grade/section when starting a class.
13. Troubleshooting
