Physical Schools Guide

Even if your school conducts classes in-person, EazyClassroom offers significant benefits: unstoppable automated recording, AI-powered lesson analysis, secure parent portals, and a centralised platform for academic administration.

Step 3: Add teachers and assign them to sections

Admin → Teachers → Add Teacher

  • Fill in teacher details.
  • In the assignment section, select which grades and sections they teach.

Step 4: Add parents and students

  • Parents – Create parent accounts (name, username, password, email).
  • Students – Link each student to a parent, select grade & section, and assign a teacher.

Step 5: Start a class for a specific section

Teachers can start a session restricted to their assigned grade and section.

Teacher Dashboard → Rooms → Start Group Class

  • Select the grade and section.
  • The session will only be visible to students from that section (via parent portal).
  • Share the join link only with parents of those students.

3. Recording In‑Person Classes

Even if all students are physically present, recording provides immense value.

How to record a physical class

  1. Teacher starts the session on their classroom computer.
  2. The session runs in the background (minimised if desired).
  3. The recording captures:
    • Teacher’s voice (via microphone).
    • Screen (if teacher shares slides or uses whiteboard).
    • Whiteboard activity.
  4. When the class ends, the teacher clicks End Session.
  5. The recording is available in the Recordings list within minutes.

Equipment recommendations for physical classrooms

ItemPurpose
Laptop or desktopRun the teacher dashboard.
External microphoneClear voice capture (better than built‑in).
Document camera (optional)Share physical worksheets or books (screen share the camera feed).
Projector or large screenShow remote students (if hybrid) or playback recordings.

4. Hybrid Learning (Physical + Remote)

When some students are at home (sick, travel, or remote days), you can run a hybrid class.

Setup

  • Teacher starts the session as usual from the classroom computer.
  • Remote students join using the student join link (shared via parent email or portal).
  • In‑person students watch the teacher on the projector.
  • The teacher’s voice and screen are broadcast to remote students.

Tips for smooth hybrid classes

  • Place the webcam so remote students can see the teacher’s face and the whiteboard.
  • Use an external microphone to avoid echo from classroom speakers.
  • Ask in‑person students to mute their microphones if they are not speaking.
  • Use the chat for remote students to ask questions.

5. Parent Engagement

Parents of physical school students often want to know what their child is learning. EazyClassroom gives them:

  • Access to recordings – Watch any class their child missed or review lessons.
  • AI Q&A – Ask questions about a specific lesson (if Eazy AI enabled).
  • Attendance visibility – See when their child joined a session (if remote) – for in‑person, you can manually mark attendance (feature coming).

To access, parents log in to the parent portal and select their child.

6. Teacher Evaluation & Professional Development

Admins can use recordings and AI insights to evaluate teaching quality.

  • Review recordings – Watch any class to assess delivery, clarity, and student engagement.
  • AI scores – If Eazy AI is enabled, see professionalism scores and off‑topic detection.
  • Share feedback – Use the recording as a concrete example during teacher reviews.

Teachers can also use the platform for self‑improvement – watching their own recordings helps identify areas to improve.

7. Staff Meetings and Training

Create private rooms for teachers or staff meetings.

  • Admin → Rooms → Add Room – Create a room named “Staff Meetings”.
  • Share the room link (with moderator password) only with teachers.
  • Teachers join using the attendee link (no account needed).
  • Record the meeting for absent staff.

8. Use Case Examples

Example 1: Grade 3 Math – Student absent for a week

  • Teacher records every class as usual.
  • Absent student’s parent logs in, watches recordings for each day.
  • Student catches up without falling behind.

Example 2: Parent‑teacher conference

  • Teacher creates a private room (or uses their personal room).
  • Parent joins at the scheduled time via a link.
  • The conversation is recorded (with parent consent) for future reference.

Example 3: New teacher onboarding

  • Admin records a model lesson from an experienced teacher.
  • New teacher watches the recording and AI summary.
  • Saves hours of in‑person observation.

9. Frequently Asked Questions (Physical Schools)

Do I need to start a session if all students are present?

Not necessarily. If you only want to record, you can start the session and minimise the window. Students do not need to join. The recording will still capture your voice and screen.

Can I use EazyClassroom without students ever joining online?

Yes. You can use it solely for recording, parent portals, and academic management. The live session feature is optional.

How much storage do recordings use for a full school?

Each one‑hour recording uses about 200‑500 MB. For a school with 10 teachers recording 1 class per day, that is roughly 2‑5 GB per day. EazyClassroom manages storage; you only pay for your plan (free plan limited to 3 days retention).

Can I record from a tablet or phone?

Yes. The PWA works on tablets and phones. However, for stable recording, a wired computer is recommended.

What if the internet goes down during class?

The session will disconnect. Once the internet is restored, start a new session. The previous part (up to the disconnection) is saved.

How do parents access recordings if their child never joins online?

Parents log in to the parent portal. For each child, they see a list of recordings from the teacher assigned to that child’s grade/section.

Can I prevent parents from seeing certain recordings?

No. All recordings of a teacher assigned to a grade/section are visible to parents of students in that grade/section. If you need private recordings, create a separate room and share the link only with specific parents.
